An AI Seat Is Usually a Second Software Bill. Count Before You Add One.

Assistant prices look like $18–$25 a person monthly, as of October 17, 2026 — before the office software some of them require underneath.

If you give everyone in the shop an artificial intelligence (AI) assistant, the bill is not one price — it is a new per-person line that repeats every month.

What to do: This week, count who used an AI seat in the last 30 days, and pause seats nobody opened.

That count matters because vendors price differently. Some sell a stand-alone assistant. Microsoft sells Copilot Business as an add-on to a Microsoft 365 plan you must already hold [1]. Google bundles its Gemini assistant into Google Workspace [4]. Comparing sticker prices alone therefore misleads.

Three pricing shapes, not one

OpenAI's help center put ChatGPT Business standard seats at $20 a user a month billed annually, or $25 monthly, with a two-seat minimum, as checked October 17, 2026 [2]. Anthropic listed Claude Team standard seats at the same $20 annual / $25 monthly shape [3].

Microsoft listed Microsoft 365 Copilot Business at $18 a user a month on annual billing for purchases through December 31, 2026, a first-year promotion; the regular price, and the renewal price, is $21 — and that is on top of the qualifying Microsoft 365 subscription [1]. Microsoft 365 Business Standard, which Microsoft lists at $14 a user a month since July 1, 2026, is the qualifying plan in the calculation below [7]. Google Workspace Business Standard, which includes Gemini, listed at $14 a user a month [4].

The honest total for a ten-person shop

Our calculation, annual billing as of October 17, 2026: ten Copilot Business seats at $18 = $180 a month, plus ten Microsoft 365 Business Standard seats at $14 = $140, for $320 a month before tax. Ten stand-alone ChatGPT Business seats at $20 = $200 a month, but that buys no email or office suite. At the $21 renewal price, the same ten seats run $350 a month. Our calculation: 10 × ($21 + $14) = $350.

It is like adding a phone line for every employee — sensible for the people who call all day, wasteful for a handset that never rings. The product is not the waste; an unused seat is.

Usage meters are arriving on top of seats

Microsoft's partner documentation said that, from December 1, 2026, usage-based billing is enabled by default for new Copilot Business purchases through its reseller channel, with a default limit of 4,000 Copilot Credits a user a month and charges for eligible extra services [1, source note]. That is a forecast of billing mechanics from Microsoft's own documentation, not a bill anyone has received yet.

Independent trackers that re-read vendor pricing pages in October 2026 reached the same shape: assistants cluster near $20, Copilot is an add-on, and Gemini arrives inside Workspace [5][6]. Those trackers agree on price, not on value — value depends on use.

The other side: vendors say the seat earns its keep

The vendors pitch these tools as time-savers for writing, meetings, and search; none of the pages we checked promises a specific saving for a business your size. We did not find, in vendor sources, a guaranteed saving for a shop of your size, and this article offers no such promise.

Start with two or three people whose work is writing-heavy — estimates, emails, listings — measure a month, then decide. That is analysis, labelled as such, not a vendor claim.

For your IT provider

What this means for Southwest Michigan

For a five-person office in Allegan or a crew office in Plainwell, $100–$175 a month is a utility-sized bill. It may be worth it for the person writing quotes all day. It is rarely worth it for every login created during a trial and never revisited.

Keep one shared list: tool, seat holder, monthly price, last used. Review it when you review the card statement. Cancel in the admin console, not by deleting an app — deletion does not stop billing.

Kicker — do this week: Export your AI seat list, circle anyone unused in 30 days, and reclaim those seats before the next renewal.
